PawZync is a digital technology platform that assists pet owners and veterinary clinics with appointment scheduling, pet health record management, telemedicine communication, and related veterinary support services.

This Privacy Policy explains how PawZync collects, uses, stores, processes, shares, and protects personal information and pet-related information when users access or use the Platform.

By accessing or using PawZync, you acknowledge that you have read and understood this Privacy Policy.

3. IMPORTANT PLATFORM ROLE CLARIFICATION

3.1 PawZync is strictly a technology platform.

3.3 Clinics are independently responsible for:

  • Medical advice
  • Treatment decisions
  • Accuracy of medical records created by them

3.4 Pet Owners are independently responsible for the accuracy of information they submit.

3.5 PawZync does not independently verify:

  • Medical records
  • Clinic licenses
  • Vaccination records
  • User-submitted data
  • Treatment accuracy

4. INFORMATION WE COLLECT

4.1 Personal Information

We may collect personal information you directly provide, including:

Passwords are securely stored using industry-standard security methods and are never stored in plain text.

5. CAMERA AND MICROPHONE ACCESS

5.1 Camera Permission

PawZync may request access to your device camera solely for enabling real-time video consultations and video calls between Pet Owners and Veterinary Clinics.

The camera is accessed only when:

  • You initiate or join a video call
  • You explicitly grant permission through your device settings

PawZync does not:

  • Record video calls
  • Store video streams
  • Capture images without user action
  • Share camera content with third parties

Camera access is used only for live communication functionality.

5.2 Microphone Permission

PawZync may request access to your device microphone solely for enabling voice communication during video consultations and calls between Pet Owners and Veterinary Clinics.

The microphone is accessed only when:

  • You initiate or join a video call
  • You explicitly grant permission through your device settings

PawZync does not:

  • Record audio conversations
  • Store audio streams
  • Monitor background audio
  • Share audio content with third parties

Microphone access is used only for live communication functionality.

5.3 Real-Time Communication Processing

Video and audio streams used during telemedicine or consultation calls are processed temporarily in real time solely for communication delivery between participants.

PawZync does not permanently store or archive video or audio call content.

Third-party communication infrastructure providers used for call functionality may temporarily process media streams solely for transmission purposes.

5.4 Permission Control

Users may revoke camera or microphone permissions at any time through device settings.

Disabling these permissions may prevent video call features from functioning properly.

5.5 No Background Access

PawZync does not access:

  • Camera in the background
  • Microphone in the background
  • Audio or video without active user interaction

5.6 Future Communication Features

If additional communication features are introduced in future versions of the Platform, this Privacy Policy may be updated accordingly.

6. HOW WE USE INFORMATION

We may use collected information to:

  • Operate and maintain the Platform
  • Create and manage accounts
  • Facilitate appointment bookings
  • Enable pet health timeline functionality
  • Process subscriptions and payments
  • Facilitate video consultations and real-time communication

7. PET HEALTH RECORD ACCESS AND SHARING

7.1 Implied Consent

By booking an appointment through PawZync, Pet Owners provide implied consent for the selected Clinic to access relevant pet health history during the active treatment period.

This may include:

  • Vaccination history
  • Prescriptions
  • SOAP notes
  • Appointment history
  • Treatment summaries

7.2 Clinic Visibility Controls

Certain Clinics may choose to hide their clinic identity from other Clinics.

In such cases:

  • Treatment details may remain visible
  • The originating Clinic identity may not be displayed

7.3 Data Accuracy Responsibility

Users and Clinics are solely responsible for the accuracy of submitted information.

PawZync is not responsible for:

  • Incorrect pet information
  • Incorrect vaccination history
  • Incorrect diagnoses
  • Fraudulent submissions
  • Outdated records
  • Misleading content

8. INFORMATION SHARING

PawZync does not sell personal information.

We may share information only in the following situations:

8.1 With Clinics

Relevant pet and booking information may be shared with the Clinic selected by the Pet Owner.

8.2 With Service Providers

We may share limited information with trusted service providers including:

  • Payment processors
  • Cloud hosting providers
  • Video communication infrastructure providers
  • Notification delivery providers
  • Security providers
  • Technical infrastructure providers

Such providers are contractually required to protect information appropriately.

8.3 Legal Compliance and Protection

We may disclose information if reasonably necessary to:

  • Comply with legal obligations
  • Respond to lawful requests
  • Protect rights and safety
  • Prevent fraud or abuse
  • Enforce our agreements

8.4 Business Transfers

If PawZync undergoes:

9. INTERNATIONAL DATA TRANSFERS

PawZync primarily operates in Sri Lanka.

However, data may be stored or processed outside Sri Lanka through infrastructure providers such as AWS or Microsoft Azure.

PawZync implements reasonable safeguards for cross-border data processing.

We retain information for as long as reasonably necessary to:

Pet medical records may be retained for continuity purposes and legal compliance.

Video and audio calls are not permanently stored by PawZync.

Requests may require identity verification.

However, no system is completely secure.

Users are responsible for safeguarding their account credentials.

14. CHILDREN'S PRIVACY

  • Treatment recommendations

Any medical information displayed on the Platform originates from Users or Clinics.

Reliance on such information is at your own risk.

PawZync may integrate with third-party services including:

  • Video communication infrastructure providers

Use of third-party services may also be subject to their own policies and terms.
